In addition to its wide-ranging skillset, Alexa can help you get and stay organized by synchronizing with your calendar. Pairing your virtual agenda allows you to review upcoming events, as well as add new ones, using nothing but your voice and an Alexa-enabled device.

Alexa works with several calendar types, including Apple iCloud, Google Gmail, Microsoft 365, and Outlook.com. You can also sync a corporate Microsoft Exchange calendar with it if your company has an Alexa for Business account.

How to Sync Your iCloud Calendar With Alexa

Before connecting your iCloud calendar with Alexa, you need to enable two-factor authentication on your Apple account and create an app-specific password.

  • Open Settings, found on your device’s home screen.
  • Select your name, located towards the top of the screen.
  • Choose Password & Security.
  • Locate the Two-Factor Authentication option. If it’s not enabled, select this option and follow the instructions provided to complete the process.
  • Go to appleid.apple.com.
  • Enter your Apple account name and password and press Enter or select the right arrow to sign in.
  • A six-digit verification code is sent to your iOS device. Enter this code in your browser to complete the authentication process.
  • Your Apple account profile should now be visible. Scroll down to the Security section and select Generate Password, located in the App-Specific Passwords section.
  • A pop-up window appears, prompting you to enter a password label. Enter Alexa in the field provided and select Create.
  • Your app-specific password is now displayed. Store this in a safe place and select Done.

Now that two-factor authentication is active and your app-specific password is in place, it’s time to sync your iCloud calendar.

Open Settings, found on your device’s home screen.

Select your name, located towards the top of the screen.

Choose Password & Security.

Locate the Two-Factor Authentication option. If it’s not enabled, select this option and follow the instructions provided to complete the process.

Go to appleid.apple.com.

Enter your Apple account name and password and press Enter or select the right arrow to sign in.

A six-digit verification code is sent to your iOS device. Enter this code in your browser to complete the authentication process.

Your Apple account profile should now be visible. Scroll down to the Security section and select Generate Password, located in the App-Specific Passwords section.

  • A list of available iCloud calendars (for example, Home and Work) displays. Make any necessary adjustments so that all calendars you wish to link to Alexa have a checkmark next to their respective names.

Sync Your Microsoft Calendar With Alexa

Follow the instructions below to link a Microsoft 365 calendar to Alexa or to connect a personal Outlook.com, Hotmail.com, or Live.com account.

Open the Alexa app on your smartphone or tablet.

Tap Menu, represented by three horizontal lines and typically located in the upper-left corner of the screen.

When the drop-down menu appears, select Settings.

Scroll down within the Settings menu and choose Calendar & Email.

Select Add Account.

Select Apple.

Under Allow Alexa to access the following Apple Services: Calendar, select Next.

You’re prompted to turn on two-factor authentication. Since this is already completed, select Next.

You’re then prompted to supply an app-specific password. As you’ve completed this already, select Add Apple Calendar.

A list of available iCloud calendars (for example, Home and Work) displays. Make any necessary adjustments so that all calendars you wish to link to Alexa have a checkmark next to their respective names.

  • Open the Alexa app on your smartphone or tablet.
  • Tap the menu icon, represented by three horizontal lines and typically located in the upper-left corner of the screen.
  • When the drop-down menu appears, select Settings.
  • Scroll down within the Settings menu and choose Calendar & Email.
  • Select Microsoft.
  • Under Allow Alexa to access the following Microsoft services, select Calendar then select Next.
  • Microsoft asks to confirm access to your account with the Alexa app. Select Yes to continue.
  • Provide the email address or phone number associated with your Microsoft account and tap Next.
  • Enter your Microsoft account password and select Sign in.
  • A confirmation message displays, stating that Alexa is now ready to use your Microsoft calendar. Select X to finish.

Sync Your Google Calendar With Alexa

Take the following steps to connect a Gmail or Google Workspace calendar to Alexa.

Tap the menu icon, represented by three horizontal lines and typically located in the upper-left corner of the screen.

Select Microsoft.

Under Allow Alexa to access the following Microsoft services, select Calendar then select Next.

Microsoft asks to confirm access to your account with the Alexa app. Select Yes to continue.

Provide the email address or phone number associated with your Microsoft account and tap Next.

Enter your Microsoft account password and select Sign in.

A confirmation message displays, stating that Alexa is now ready to use your Microsoft calendar. Select X to finish.

  • Open the Alexa app on your smartphone or tablet.
  • Tap More (three horizontal lines) in the lower-right corner.
  • Select Settings.
  • Scroll down within the Settings menu and choose Calendar & Email.
  • Select Google.
  • At this point, you may be presented with a list of Google accounts that are associated with Alexa for another purpose or skill. If so, choose the one that contains the calendar you want and select Link this Google account. If not, select Use another account.
  • If the account isn’t listed, select Add account. Provide the email address or phone number associated with your Google account and select Next.
  • Enter your Email or phone and select Next.
  • Enter your Google password and select Next again.
  • Under the Google Terms of Service, select I agree.
  • Alexa requests access to manage your calendars. Select Allow to continue.
  • You should now see a confirmation message, letting you know Alexa is ready to use with your Google calendar. Select Done or the X icon to complete the process and return to Settings.

Managing Your Calendar With Alexa

Once you’ve linked a calendar with Alexa you can access or control its contents via the following voice commands:

At this point, you may be presented with a list of Google accounts that are associated with Alexa for another purpose or skill. If so, choose the one that contains the calendar you want and select Link this Google account. If not, select Use another account.

If the account isn’t listed, select Add account. Provide the email address or phone number associated with your Google account and select Next.

Enter your Email or phone and select Next.

Enter your Google password and select Next again.

Under the Google Terms of Service, select I agree.

Alexa requests access to manage your calendars. Select Allow to continue.

You should now see a confirmation message, letting you know Alexa is ready to use with your Google calendar. Select Done or the X icon to complete the process and return to Settings.

Scheduling a Meeting

In addition to the commands above, you can schedule a meeting with another person using Alexa and your calendar. To do so, first activate Alexa Calling and Messaging by taking the following steps:

  • Open the Alexa app on your smartphone or tablet.
  • Select Communicate, located on the bottom of the screen and represented by a speech balloon. The app may ask for permissions to your device’s contacts. Allow this access and follow any subsequent instructions to enable Calling and Messaging.

Alexa also asks you whether you’d like to send an email invitation after you initiate a meeting request.

Calendar Security

While linking your calendar with Alexa is convenient, there could be a privacy concern if you’re worried about other people in your home or office accessing your contacts or appointment details. One way to avoid that potential problem is to limit calendar access based on your voice.

Follow the steps below to set a voice restriction for your Alexa-connected calendar:

  • Open the Alexa app on your smartphone or tablet.
  • Select the menu icon, represented by three horizontal lines and typically located in the upper-left corner of the screen.
  • When the drop-down menu appears, select Settings.
  • Scroll down within the Settings menu and select Calendar & Email.
  • Select the linked calendar you wish to add a voice restriction to.
  • Go to the Voice Restriction section and select Only My Voice.
